Operations Support/Operations Assistant (100% remote)

Location: Remote

Type: Full Time

Schedule: Sat-Wed 5:30 am to 2:30 pm PST (Los Angeles Time). Break 10:30 am to 11:00 am PST.

Hourly Rate: USD$4.00 to USD$5.50 (depending on experience).

About the Position.

We are seeking an organized and professional Operations Support/Operations Assistant to join our dynamic team at The Spanish Group. The Operations Support role is a crucial component of our operational efficiency, providing essential assistance to one or multiple departments (Operations & Compliance, Project Management, QC & Proofreading and/or Sales & Customer Service within our organization. This versatile position involves aiding various teams in their day-to-day tasks. The Operations Support position is the backbone of seamless coordination, effective communication, and streamlined processes across different functional areas.

This is an opportunity to work remotely 8 hours per day + lunch break. You must have a computer, high speed internet and an area to work free of background noise.

General Responsibilities.

· Assist in administrative tasks such as data entry, filing, and document management.

· Help manage schedules, ensuring timely execution of tasks and projects.

· Act as a liaison between different departments and team members, facilitating effective communication.

· Assist in drafting internal communications and reports as required.

· Monitor compliance with policies and procedures.

· Monitor/Audit procedures are being followed up.

· Assist in implementing new procedures or protocols.

· Compile and organize data from various sources to create reports and presentations.

· Assist in data analysis to support decision-making.

Specific Responsibilities depending on Department.

Operations & Compliance:

· Develop, implement, and monitor operational policies, procedures, and KPIs by department to meet organizational goals.

· Identify areas of opportunity across processes and implement continuous improvement initiatives.

· Collaborate with cross-functional teams to map and analyze current processes, identifying areas for improvement.

· Conduct internal operational audits and create remediation plans to address findings.

· Assist in creating, editing, and finalizing policies and procedures.

· Complete administrative projects, including document creation, database management, and email organization.

Project Management:

· Monitor the status of project quotes and promptly inform the quotes team about pending quotes.

· Ensure timely assignment of translation projects to translators and monitor progress to ensure on-time delivery.

· Assist in tracking overall project schedules, budget performance, and resource allocation.

Quality Control and Proofreading:

· Monitor the assignment of projects to proofreaders and ensure completion of quality control procedures.

· Assist in maintaining an organized system for completed projects.

· Monitor Proofreaders workload.

· Ensure completed projects have all the documents in place before delivery.

· Help on deliveries and keep the deliveries tracker updated.

Sales & Customer Service:

· Monitor the follow-up activities of the sales team on assigned leads, ensuring leads are adequately nurtured.

· Keep track of inbound calls, promptly informing the team about any missed calls and ensuring proper follow-up.

· Assist in monitoring customer reviews and feedback, identifying trends for improvement.

Qualifications.

· Associate or bachelor's degree.

· Demonstrate an outstanding level of fluency in English (written and spoken).

· 1+ years of experience in a similar related role.

· Basic knowledge of Continuous Improvement, Lean Manufacturing and Rapid Problem Solving or 8Ds as a plus

· Excellent Computer Skills (Microsoft Office Suite and Google).

· Be able to start immediately or as soon as possible.

Pay: R$21.66 - R$29.79 per hour
