Executive Assistant to CEO

Location: Amazing Maids & JR Consulting

Reports to: The CEO

Salary Range: R$4,000-5,000 BRL per month

Benefits: Paid Time Off

Working Hours: 8 am to 5 pm, Monday to Friday (Eastern Time)

Job Description:

Are you exceptionally organized, honest, and adept at multitasking? Join our dynamic team at Amazing Maids and JR Consulting as a Personal Executive Assistant. In this role, you will be instrumental in supporting our Chief Executive Officer by managing their busy schedule, organizing travel plans, and efficiently handling daily tasks.

Key Responsibilities:

  • Scheduling: Manage and organize the CEO's daily and weekly calendars, including meetings, appointments, and events.
  • Travel Arrangements: Coordinate flights (preferably Delta or American Airlines), accommodations, and other travel logistics, ensuring preferences are met.
  • Email Management: Categorize and respond to emails promptly, utilizing tools like LastPass for secure access and ClickUp for task tracking.
  • Administrative Support: Handle various administrative tasks, including managing important documents, processing time-off approvals, and maintaining financial records.
  • Meeting Coordination: Schedule and coordinate meetings, ensuring all necessary preparations are made and providing reminders and updates to the CEO and relevant team members.

Personal Assistance: Assist with personal tasks, including managing family schedules, healthcare appointments, and other personal errands.

Skills and Qualifications:

  • Organizational Skills: Superior ability to manage time, prioritize tasks, and maintain detailed records.
  • Honesty and Integrity: Must be trustworthy and able to handle sensitive information with confidentiality.
  • Multitasking Ability: Capable of managing multiple tasks simultaneously and efficiently.
  • Communication Skills: Excellent written and verbal communication skills in both English and Portuguese.
  • Tech Savvy: Proficiency in using email, calendar management tools, and other productivity software. Experience with LastPass and ClickUp is a plus.
  • Problem-Solving Skills: Ability to anticipate needs, solve problems, and make decisions quickly and effectively.
