Job Title: Executive Assistant

Employment Type: Full-Time

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to senior executives. In this role, you will manage schedules, coordinate meetings, handle confidential communications, and ensure the efficient operation of executive activities. Key Responsibilities:

Administrative Support:

  • Manage executive calendars, schedule meetings, and coordinate travel arrangements.
  • Handle confidential correspondence and communications with professionalism.
  • Prepare reports, presentations, and documents as needed.

Meeting Coordination & Communication:

  • Organize and facilitate executive meetings, including agenda preparation and note-taking.
  • Act as a liaison between executives, internal teams, and external stakeholders.
  • Ensure follow-ups on key action items and deadlines.

Project & Task Management:

  • Assist in managing executive projects, tracking progress, and ensuring timely completion.
  • Conduct research and compile relevant information to support decision-making.
  • Maintain and organize executive records, files, and databases.

Office & Event Coordination:

  • Plan and coordinate company events, meetings, and executive functions.
  • Support operational tasks to improve office efficiency and workflow.

Skills and Qualifications:

  • Required Expertise:
  • Previous experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and calendar management tools.
  • Excellent organizational and time management skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Soft Skills:
  • Exceptional communication skills, both written and verbal, in English and Spanish.
  • Strong problem-solving abilities and attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • High level of adaptability and ability to prioritize tasks efficiently.
  • Preferred:
  • Experience supporting senior executives or C-level professionals.
  • Familiarity with project management tools and CRM systems.
