DMC located in the USA is seeking a home-based travel assistant to act as a Travel Coordinator and to help us manage our travel programs, events, and tour activities.

The virtual assistant will help all events from a creation and operation stand-point which includes contacting vendors, drafting proposals, getting quotes, reviewing contracts, tracking and executing deliverables, and maintaining processes within the deadline. We need an executor who can appreciate digging into the finer points of a project, but also has a strategic mindset and knows how the small relates to the whole. The assistant will be a hands-on coordinator who isn't afraid to roll up their sleeves and get the job done.

This role will start with a full-time position (40h/week) during the 8 months contract with the potential to move on into a contractor for renewal. The workload is quite hectic during our high season, which goes from April to September. Applicants must have a qualified set-up for a home-based position, including a reliable and fast Internet connection during their working hours (at least 100MB), a fast laptop, smartphone, and a quiet space to be used as an office. The Home office must be located in Brazil – all Brazilian cities will be acceptable.

Responsibilities include, but are not limited to:

  • Act as primary contact and provide excellent customer service for all travel and hospitality-related matters via phone and email for passengers, advisory groups, travel agencies, tour operators, and incentive agencies.
  • Manage event details such as tours, entertainment, restaurants, transportation, staff, decor, catering, equipment, promotional material, client relations, etc.
  • Assist Destination manager with quotations, proposals, reservations, payment, and other processes related to the event or travel arrangements.
  • Negotiate rates and partnerships with suppliers. Manage contract vendors and staffing, from venues to AV equipment to catering to talent. Monitor attrition dates, cancellation policies and ensure contracted services are executed
  • Coordinate and possibly attend site inspections as needed
  • Manage FIT reservations, dispatch, reports, appointments and calendar for all transfers and tours.
  • Reconcile invoices and budgets to ensure all expenses are reconciled and forecasted. Create accounting reports and P&L report and spreadsheet for FIT and groups.
  • Creation and proofing final travel documents, such as Itinerary and day-by-day including detailed information about the services requested by the client.
  • Review and creation of documents such as rooming list, transportation manifest, staff schedule, budget creation, cost analysis, RFP, and BEO.
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day/s.
  • Create new products and research new markets and potential clients
  • Answer emergency calls.

Qualifications / Experience:

  • Minimum 3 years’ experience providing international travel arrangements or even planning.
  • Expertize in Travel & Events logistics, including Food & Beverage, Hospitality Management, Audio Visual, Transportation, Restaurant, Tours, etc.
  • You will be working on several programs at one time so you will need to be able to organize and prioritize your work. Your ability to handle multiple tasks and work effectively, independently, and efficiently with tight time constraints will be extremely important for this position.
  • Work well under pressure and have the ability to deal with change and adversity.
  • Excellent communication skills via email and phone both in English and Portuguese.
  • Ability to negotiate contract terms/conditions with the suppliers in the USA.
  • Experience developing budgets, working with numbers and spreadsheets.
  • Flexibility to answer emergency calls from our clients over the weekend, which is very rare (average once a month), but extremely important to us.

Schedule, Compensation and Requirements:

Our company is based in the USA; therefore your schedule will be based on the Central Standard Time and American Holidays from 8:30am to 12pm and 1pm to 5:30pm (CST).

For this position you will receive roughly R$4,160 or more depending on the extra hours. During the high season (April - September), the monthly compensation can be around 10% to 30% higher depending on the amount of extra hours needed.

Our goal is to find a proactive candidate capable of reaching the proficiency level necessary to perform their duties with minimal supervision within a few months. Upon reaching this milestone, the virtual assistant will receive a monthly compensation increase of approximately 40%. There is no set timeline for when this compensation adjustment will take place. We will gauge the candidate's progress and ability to perform the role independently as our benchmark. Some individuals may achieve this level within 3 months, while others may take up to 8 months.

The candidate will work as a contractor, therefore a MEI will be required for this position. This is not a CLT.
