Summary of the Position:
We are seeking a Freelance International Recruiter who will be responsible for sourcing, recruiting, and onboarding cost-effective and quality talent while following local laws. We have several positions to fill, so this role may involve handling multiple recruitment processes simultaneously.
Target geographies will initially focus on Brazil, so cultural knowledge or experience in either of these regions is a plus. Deliverables will be organized in a transparent and measurable fashion, and submitted throughout the end to end recruitment process to showcase progress and performance.
You will collaborate and iterate closely with one of our co-founders and/or project manager to define deliverables, timelines, and ensure recruiting efforts align with company goals. Collaboration will typically take place over Slack and Zoom video meetings with cameras on and occasional screen sharing when needed.
Once the goals are set, you will take ownership of executing the work and will be responsible for delivering results within the agreed-upon parameters and timelines. Knowledge transfer, transparency and timely communication with all relevant stakeholders will be a critical part of your recruitment process to ensure we can collaborate effectively with you and participate seamlessly as needed.
Work Schedule & Availability:
- Estimated Weekly Hours: 10-20 hours per week based on company hiring needs and alignment with scheduling.
- Flexible Hours: Structure your workday and week as you see fit, while ensuring successful recruitment outcomes and effective communication with stakeholders.
- Meetings & Communication: Be available for meetings and communication with stakeholders throughout the week. Meeting times are typically between 1pm to 4pm PST, though times may vary.
- Meeting Frequency: Meetings are scheduled as needed, usually a few times per week, depending on stakeholder needs and recruitment phases.

Key Deliverables Include:
- Define Company Needs: Collaborate with team members to identify specific recruitment needs, including role competencies, responsibilities, and expectations.
- Documentation: Draft job descriptions, including qualifications and experience requirements ensuring alignment with company goals and values.
- Develop Target Personas & Screening Questions: Define ideal candidate profiles based on company needs and develop customized screening questions to filter for best-fit candidates.
- Post & Manage Job Ads: Create and manage job postings on Indeed and relevant platforms, ensuring wide reach to attract top talent in target geographies.
- Source & Outreach: Identify, source, and reach out to qualified candidates using various platforms like LinkedIn and tools to expand our talent pool.
- Prepare Interview Materials: Create questionnaires and interview questions tailored to role-specific requirements.
- Cultural & Role Fit: Assess candidates for cultural alignment with Pet Awesome’s values, including a focus on integrity, dependability, adaptability and continuous improvement.
- Interviews & Assessments: Conduct interviews and assess candidates' qualifications, experience, and cultural fit.
- Document Interview Notes: Organize detailed records of interviews, assessments, and other relevant notes for candidate evaluations and future reference.
- Reference Checks: Verify qualifications through reference checks and freelancing platforms like Upwork for client reviews and work history.
- Smooth Transition to Onboarding: Facilitate the onboarding process for new hires by ensuring all documentation, expectations, and assessments and other ad hoc items are identified and completed. Provide a seamless handoff to internal stakeholders to support successful integration.
Expectations:
- Stakeholder-Facing Professionalism: Conduct all stakeholder video meetings and interviews with business-appropriate attire and a well-organized, distraction-free workspace.
- Integrity: Be honest and hold yourself accountable in all actions and exemplify this to candidates and stakeholders. Identify and acknowledge conflicts of interest, correct mistakes proactively and uphold trust and reputation.
- Dependability & Adaptability: Meet commitments, be reliable and supportive of stakeholders when needed, and give your best effort, even outside of typical days/hours. Adapt to changes in plans, priorities, strategies and approaches even if they’re outside of your role or skillset with minimal disruption.
- Continuous Improvement: Strive to exceed expectations, remain curious, and explore new tools, technologies, or strategies to enhance performance. Seek and offer constructive feedback, and pursue iterative improvements in processes and strategies.
- Timesheet & Invoicing: Maintain and submit an accurate timesheet on days worked that itemizes tasks, projects, and billable hours to ensure transparency and alignment with your invoicing.
- Cost Effective Hiring: Creatively source candidates who align with Pet Awesome's values and fit while driving costs down. Identify cost-effective geographies where we can pay 10-30% above local rates, yet remain well below international benchmarks. Do not use mainstream freelancing platforms but instead use efficient strategies and platforms such as LinkedIn to attract motivated talent.
- High Communication Standards: Provide regular updates and respond to messages promptly. Communicate clearly with attention to grammar, spelling, and detail, ensuring timely follow-ups. Ask clarifying questions to ensure mutual understanding and alignment of expectations.
- Data Management & Integration: Maintain an organized candidate database with detailed notes and progress tracking. Ensure seamless integration with existing systems/tools and ensure seamless flow of information between you and applicable stakeholders.
Experience, Skills & Requirements:
- Established Networks: You must have a well-established LinkedIn account and other relevant social media and networking accounts. You will be expected to leverage these accounts to actively source and recruit top talent for Pet Awesome, ensuring professionalism, attention to detail, and a strong network with social proof.
- Chat GPT: You should have a strong experience and understanding of Chat GPT, including its risks and limitations. Chat GPT is expected to be leveraged to streamline work but must be used with caution.
- International Recruitment Expertise: Demonstrable experience in recruitment, ideally within remote and geographically diverse teams.
- Proven Track Record: Demonstrated success in sourcing, attracting, and onboarding high-quality, cost-effective talent.
- Candidate Assessment: Skilled at crafting structured and tailored interview questions and assessment tests to assess candidates not only for qualifications but also for alignment with company values such as integrity, dependability, adaptability and continuous improvement.
- Tech Savvy: Familiar with recruitment and project management tools like LinkedIn, Notion, Gsuite, Slack, and Zoom.
- Data Management: Competent in organizing and tracking candidate information using spreadsheets (e.g., Google Sheets) or more formal databases, ensuring detailed notes and progress tracking with seamless integration into existing systems.
